Are you automating or outsourcing your way to freedom?

As solopreneurs, we wear all the hats.

Marketing. Sales. Customer service. Admin. The list never ends.

At some point, you realize: time is your most valuable asset.

This is when you ask yourself, if you should:

  1. Automate?

  2. Outsource?

  3. Or keep doing it yourself?

Here’s a simple framework that’s worked for me and many others:

A task decision worksheet. It forces you to look at your time differently.

Here’s how you can use it:

1. Look at your top 5 time-consuming tasks. 

Tasks that drain hours and energy each week.

This is where your potential for efficiency lies.

2. Ask the right questions:

– How often does the task occur?

– Is it repetitive and simple, or does it require judgment?

– Does it need expertise you don’t have?

– Does it involve direct client interaction?

– Does consistency matter?

– Is it time-sensitive or data-sensitive?

3. Weigh the costs of automation vs. outsourcing. 

Some tasks are no-brainers for automation. Think: repetitive, simple, non-client facing work. If it happens daily and only requires minimal setup—automate it.

Example: Every time you get a new order, you have to:

  • Enter the customer into your CRM

  • Send an order confirmation email

  • Submit the order to your fulfillment team (which could also be you)

This entire process can be automated using tools like Zapier or Make. No human involvement needed—it’s pure back-end work. In addition automation cuts down on errors.

It’s a no-brainer.

Others?

Outsource it. Especially for tasks that are complex, require judgment, or involve direct client interaction. These are best handled by someone with the right expertise.

Outsourcing shines when you’ve already built a process. If there’s a system in place that someone can follow without needing to make many decisions, that’s your signal to delegate. You’re not just buying time—you’re ensuring the job gets done well without your constant oversight.

4. Do the math. 

How much time are you currently spending on this task?

What’s the value of that time in dollars?

If you’re spending more time (and money) doing a task yourself than it would cost to outsource or automate—it’s time to make the switch.

At the end of this process, you’ll have two clear buckets:

  1. Automation: Tasks you do repeatedly and don’t need specialized knowledge.

  1. Outsourcing: Higher complexity, client-facing tasks that require judgment or skills you don’t have—and take longer to implement.

5. Make the decision. 

For each task, decide: automate, outsource, or keep doing it yourself. Once you’ve made the call, it’s time to research tools or services to get started.

Your time is too valuable to waste on tasks that can be automated or outsourced. And the more you free up, the more space you create for what really matters—growth, strategy, and delivering real value to your clients.

Take a hard look at where your time is going.

You might be surprised how much of it can be given back to you.
